[BEC写作] 如何写一封滴水不漏的英文电子邮件

  对于职场商务英语中的口语礼仪我们说过很多,今天来看看你或许每天都会使用到的电子邮件的知识和表述方法。


  虽然打电话和发短信都能交流,但在工作中和交往中邮件仍很重要。学习用英语写电子邮件无疑是提高英语重要一环,而且它的实用性绝对比你练习写作一篇议论文来得实惠。
  首先我们看看如何看懂和理解英语邮件的术语和表达。

  步骤
  不论是请求帮助,转发信息还是解答事宜,精炼的语言和清晰的逻辑是一封商务邮件的必备条件。
  ① To inform 提供信息
  The sender of the email wants to tell the receiver about something such as a new show coming to London. It might contain a link to the theatre. Generally speaking no reply is necessary。It can be a group email sent to a circle of friends for example.
  发邮件的人想把什么事情告诉收件人。比如,伦敦将上映一场新剧目并附上剧院链接。一般情况下不需要回复。可能是群发,比如发在朋友圈上。
  例:
  Dear all,
  Hope you are all well. Just to let you know that The China National Peking Opera is coming to London at the end of November to perform classical Peking Opera and the show will only be on for three days, so grab your tickets soon. Here is the link xxx
  希望大家都好。告诉你们一声,中国国家京剧院将于11月底来伦敦表演中国古典京剧。只演出三天,快订票啦。这是链接xxx
  ② To Inquire 询问
  The sender needs some information and is expecting a reply. For example, ask Airline Company for travel rules and regulationsregarding children.
  发邮件的人需要了解一些信息并期待回复。比如,询问航空公司对未成年孩子旅行的要求和规定。
  例:
  Dear Sir/Madam,
  I am writing to inquire about the rules regarding children travelling alone. For instance, can a 15 year old child travel onAir China alone? What should we do if there is not an adult to accompany the child?
  I look forward to your advice
  尊敬的先生/女士:
  我写信想询问贵公司对未成年儿童单独旅行的规定。比如,一名15岁儿童能不能单独乘坐中国航空公司飞机旅行?如果没有****陪伴怎么办?
  我期待收到您的建议。
  ③ To request 请求
  The third scenario is asking for permission to do something, such as an annual leave request at workor asking for permission to work from home.
  第三种情况是发邮件提出请求和批准。比如请年假或因照顾家提出在家里工作申请。
  例:
  Dear Ruth,
  I'm writing to see if it is possible for me to work from home on Fridays for the next 2years. My wife is part-time so she can pick up the kids Monday to Thursday. But she can'tdo Fridays when she needs to be in the office all day.
  I would be most grateful if you could consider my request.
  Thanks,
  亲爱的 Ruth:
  我不知道可不可申请在接下来的两年时间内每周五在家工作。我妻子现在是兼职,她可以星期一到星期四负责接送孩子。但是星期五她不行,因为她要在办公室工作一整天时间。

  Writing to say hello for the purpose of maintaining social connections, friendship and perhaps future collaboration.
  写封邮件问问好。目的是保持来往、友谊或者是为未来合作保持联系。
  例:
  Hi Alan,
  How are you doing with your new house? It's a gigantic job for one person but you are a superman of course!
  I went to Singapore for a conference in September and to Washington for the annual IMF meeting shortly after. I have been so busy that I have not played any sports for two months!
  Let me know when you will be free so we can have a game of squash and a drink.
  Best,
  你的新房子搞得怎样啦?一个人装修一套房子可是个巨大工程呀,不过你不同你是个超人啊。
  我9月份去新加坡参加会议,接着,就是十月份去华盛顿参加国际货币基金组织的年会。我一直特别忙,有两个月都没怎么运动过!
  看看你什么时候有时间,咱们一起去打场壁球,然后去酒吧喝上一杯呀。

  结束语
  当然,除了信件内容,准确而灵活地使用结束语也是邮件礼仪中非常重要的组成部分,值得大家好好收藏学习。
  Love
  Very personal. Used between lovers, family and close friends.
  非常私人的。一般在爱人、家人或者给非常亲密的朋友写信的时候使用。
  Cheers
  Very casual. Used between friends. Can be used between coworkers if you want to appear very casual, at the risk of sounding unprofessional.
  一种较为随意的结尾,一般在与好友通信是使用。如果你希望看起来平和一点,也可以用于和同事的通信。不过这样的结束语不太正式,会显得不够专业。
  Take care
  Casual and used between friends.
  适用于朋友之间通信。
  Thanks or Thank You
  'Thanks' is very casual and 'Thank You' is formal. Usually used in a business setting. 'Thank You' is a great way to end an email to a stranger, especially if you are making a request or asking a question.
  Thanks偏随和,而 Thank You 比较正式,常用于商务场合。当你给陌生人写信,尤其是请求协助,提出要求或者询问事项时,用Thank You是收尾的好选择。
  Yours or Yours Truly or Truly
  Casual or Business casual. A more personal, but still polite way to end the letter. You've probably met the recipient in real life.
  日常交往或者商务场合都可以。它算是一种比较私人的结束语,但同时也可以体现出你的礼貌。一般用于你之前见过面的对象。
  Best or Best Wishes
  Casual or Business casual. A polite way to end the letter. Can be used between friends or strangers.
  日常交往或者商务场合都可以用,是一种礼貌的方式。对朋友和陌生人都可以用。
  Sincerely or Sincerely Yours or Yours Sincerely
  Casual, Business casual or Formal. The standard letter ending. 'Sincerely' is the most versatile ending because it can be used to end either casual or formal correspondence. If you're unsure about how to sign your letter, use 'Sincerely'.
  日常交往、商务或更正式的信件。 是标准的信件结束用语。 "Sincerely" 是使用范围最广的一种结束语,无论日常和正式通信都可以使用。如果不确定怎么结尾署名,就用sincerely吧。
  Regards or Best Regards
  Business casual or formal. You would use this if the recipient is someone you haven't met in real life.
  适用商务或更正式的信件。 如果你和收件人之前并不认识,或未在生活中打过交道,您可以用这两个词来结尾。
  Cordially
  Formal. Used in business correspondence when the topic of the letter is serious. Sometimes used if there is a conflict between the sender and the recipient.正式的结束用语。 当信件的内容是非常重要的时候或商务谈判时可以使用。当你和收件人之间有分歧或者冲突的时候,也可以使用。
  Using an ending that is too casual for the situation may not always be inappropriate. Conversely, using a casual ending can show your self-confidence. But to do this requires you to gauge whether the recipient would like a more casual conversation.
  在正式场合使用一个随和的结尾并不一定意味着什么不恰当的事情。有的时候,这样做可以显得你很自信,谈话很随和。不过在这样做之前,请一定要了解一下对方是否喜欢这样一种随和的方式。

  Instead of prior to use before
  用“before”代替“prior to”
  Instead of subsequent use after
  用“after”代替“subsequent”
  Instead of in order to use to
  用“to”代替“in order to”
  Instead of in the event that use if
  用“if”代替“in the event that”
  Instead of with reference to use about
  用“about”代替“with the reference to”
  Instead of state of the art use latest
  用“latest”代替“state of the art”
  Instead of due to the fact that use since
  用“since”代替“due to the fact that”
  Instead of not later than 2pm use by 2pm
  用“by 2pm”代替“not later than 2pm”
  Instead of at the present time use now
  用“now”代替“at the present time”
